This Privacy Policy explains how Keltravio collects, uses, shares and protects your personal data when you visit our website, place an order or contact us.

PRIVACY POLICY

Keltravio is a trade name of AOU Verkoop, a sole proprietorship (eenmanszaak) registered under Dutch law, with its business address at Nijenheim 9103, 3704TP Zeist, the Netherlands, registered with the Dutch Chamber of Commerce (Kamer van Koophandel) under number 42011621. AOU Verkoop is the controller of your personal data within the meaning of the General Data Protection Regulation (GDPR).

 

We only process personal data where we have a lawful basis to do so, and we do not sell your personal data.

 

 

1. PERSONAL DATA WE COLLECT

 

Data you give us directly

 

* Contact and identity details: your name, email address, delivery address, billing address and telephone number.

* Order details: the products you buy, order number, order history and any notes you add at checkout.

* Payment details: the payment method you choose and confirmation that payment succeeded. Card numbers and bank credentials are entered directly with our payment provider and are not stored by us.

* Correspondence: the content of emails, contact form messages, reviews and any documents or photos you send us in support of a return or warranty claim.

* Marketing preferences: your consent to receive our newsletter and any later withdrawal of that consent.

 

Data collected automatically

 

* Device and connection data: IP address, browser type, operating system, language and device type.

* Usage data: the pages you visit, how you arrived on our website, the links you click, the products you view and how long you stay.

* Cookie data: identifiers placed by cookies and similar technologies, as described in section 7.

 

We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, please contact us and we will delete it.

 

 

2. WHY WE USE YOUR DATA AND ON WHAT LEGAL BASIS

 

To process and deliver your order, including sending confirmations, arranging shipment, handling returns and refunds and answering questions about your order. Legal basis: performance of a contract with you.

 

To provide customer service and respond to your messages. Legal basis: performance of a contract, or our legitimate interest in helping people who contact us.

 

To detect and prevent fraud, abuse and payment risks, and to keep our website secure. Legal basis: our legitimate interest in protecting our business and our customers, and compliance with legal obligations.

 

To meet accounting, tax and consumer law obligations, including keeping invoices for the statutory retention period. Legal basis: compliance with a legal obligation.

 

To send marketing emails about our products and offers. Legal basis: your consent, or our legitimate interest in contacting existing customers about similar products. You can unsubscribe at any time using the link in every email.

 

To analyse and improve our website, product range and advertising. Legal basis: your consent where analytics or advertising cookies are used, and otherwise our legitimate interest in understanding how our website performs.

 

To handle disputes and enforce our terms. Legal basis: our legitimate interest in establishing, exercising or defending legal claims.

 

 

3. WHO WE SHARE YOUR DATA WITH

 

We share personal data only with parties who need it to do their work for us, and only for the purposes described above. These include:

 

* Our ecommerce and hosting providers, who operate the website and store order data on our behalf.

* Payment service providers, who process your payment and carry out fraud checks.

* Fulfilment partners in Germany and France, who pick, pack and dispatch your order.

* Shipping carriers, who deliver your parcel and keep you informed about its status.

* Email, customer service and review platforms, which we use to communicate with you.

* Analytics and advertising providers, where you have accepted the relevant cookies.

* Our accountant and, where necessary, legal advisers.

* Public authorities, where we are legally required to disclose data.

 

Processors act on our documented instructions under a data processing agreement. We do not sell or rent your personal data to third parties.

 

 

4. INTERNATIONAL TRANSFERS

 

Your data is normally processed within the European Economic Area. Where a provider processes data outside the EEA, we make sure an appropriate safeguard applies, such as an adequacy decision of the European Commission or the European Commission's standard contractual clauses.

 

 

5. HOW LONG WE KEEP YOUR DATA

 

We keep personal data no longer than necessary for the purposes for which it was collected.

 

* Order and invoice data: seven years, in line with the Dutch statutory tax retention period.

* Customer service correspondence: up to two years after your question is resolved.

* Marketing data: until you unsubscribe or withdraw your consent, and a short period afterwards to record that you opted out.

* Website and cookie data: in line with the retention periods set out in our cookie settings, and in any event no longer than the period for which each cookie is set.

 

After these periods we delete or anonymise the data.

 

 

6. YOUR RIGHTS

 

Under the GDPR you have the right to:

 

* Access the personal data we hold about you and receive a copy of it.

* Have inaccurate or incomplete data corrected.

* Have your data erased, where there is no longer a valid reason for us to keep it.

* Restrict our processing of your data in certain circumstances.

* Receive your data in a structured, commonly used and machine readable format, and have it transferred to another controller.

* Object to processing based on our legitimate interests, and to object at any time to the use of your data for direct marketing.

* Withdraw your consent at any time, without affecting the lawfulness of processing carried out before the withdrawal.

 

To exercise any of these rights, contact us through the contact page on our website. We respond within one month. We may ask you for information that lets us confirm your identity before we act on a request.

 

If you are not satisfied with how we handle your data, you may lodge a complaint with the Dutch data protection authority, the Autoriteit Persoonsgegevens, or with the supervisory authority in your country of residence.

 

 

7. COOKIES

 

We use cookies and similar technologies to make the website work, to remember your cart and preferences, to measure how the website is used and, where you allow it, to show you relevant advertising.

 

Functional cookies are necessary for the website to operate and are placed without consent. Analytical and marketing cookies are placed only after you accept them. You can change or withdraw your cookie choices at any time through the cookie settings on our website, and you can block or delete cookies through your browser settings. Blocking functional cookies may stop parts of the website from working.

 

 

8. SECURITY

 

We take appropriate technical and organisational measures to protect your data against loss, misuse and unauthorised access, including encrypted connections, access controls and agreements with our providers. No system is completely secure, but we review our measures regularly. If a data breach is likely to result in a high risk to your rights, we will inform you and the relevant authority as required by law.

 

 

9. CHANGES TO THIS PRIVACY POLICY

 

We may update this Privacy Policy to reflect changes in our practices or in the law. The latest version is always published on this page, with the date it was last updated at the top. If a change materially affects you, we will make that clear on our website.
